Epos Now Review UK

Epos Now costs a £5,000 a month shop about £110 a month after the £299 + VAT bundle, which is more than Square's free till at the same volume. The price is fair for an installed countertop system; the contract is the part to read twice, because there is no right to cancel during the fixed term.

Our verdict

Buy Epos Now if you want a countertop till installed and configured for you and you are sure you will use it for the whole term. Its 1.70% card rate is only 0.05% below Square's 1.75%, so the £25/month subscription is not paid back by cheaper card fees until you take about £50,000 a month. If you are already on Epos Now mid-term, stay put and diarise the notice date instead.

Suits:

Independent shops and cafés that want hardware, software, installation and training from one company and plan to stay at least a year.

Look elsewhere if:

You are testing a new venture, take a lot of Amex (that rate is not published), or want to be able to leave at a month's notice.

What is Epos Now?

Epos Now is a Norwich-based EPOS company that sells till hardware, POS software with a web-based back office, and its own card processing, Epos Now Payments, as one package for retail and hospitality. The UK trading company is Epos Now (UK) Ltd (company number 07666961, incorporated 13 June 2011), which was previously named Epos Now Ltd. Today's Epos Now Ltd (10784763, formerly Epos Now Holdings Limited) is a separate company registered at the same address.

Its headline product is The Complete Solution, which includes: Countertop POS terminal (15.6 inch touchscreen, built-in 80mm receipt printer), Epos Now POS software, installation, configuration and training. Software can also be bought outright for £538.80 inc VAT, but the advertised bundle price only applies with the monthly subscription.

Worked example: the £5,000 a month shop

A shop taking £5,000 a month on Visa and Mastercard, on the entry subscription. Square's free POS is the comparison because it is the cheapest full till with no monthly fee.

  • Epos Now card fees: £5,000 × 1.70% = £85
  • Epos Now monthly: £25 + £85 = £110/month
  • Epos Now year one: £299 bundle + (£110 × 12) = £1,619
  • Square free plan: £5,000 × 1.75% = £87.50/month; year one with a Terminal £149 + £1,050 = £1,199, or with a Register £1,749

The card rates are close: 1.75% − 1.70% saves £2.50 a month at this volume. Recovering the £25 subscription from that gap needs £25 ÷ 0.05% = £50,000 of card takings a month. Hardware prices are ex VAT; the subscription's VAT treatment is not published, so confirm it on your order.

What the extra money buys is the installed countertop terminal described above, set up and trained for you, and one supplier to call. For a busy counter that can be worth paying for. For a market stall or a business still finding its feet, it is a year of commitment you do not need yet.

Epos Now card machine and payments

The Epos Now card machine runs on Epos Now Payments, and the subscription in the bundle is a payments and support plan, so card processing comes with the package rather than from a provider you pick. The 1.70% rate is a flat rate with no separate authorisation or PCI fees on Epos Now's own account of it. Two gaps matter: the rate for Amex and the other opt-in schemes is not published, and the card machine price is not published as a standalone price. Payouts: collected at the end of the day and paid to your bank after two days, slower than Square's next-day standard.

Contract terms and what leaving costs

Epos Now's UK terms (Version 2.43, effective 1 November 2026) are business-to-business: consumer law does not apply, and sole traders sign as businesses (clause 2.4). The clauses that decide your exit:

  • Each plan runs for a fixed term of 12, 24 or 36 months as stated in your Order; 12 months if none is stated (clause 4.4).
  • Plans renew automatically for a further period equal to the previous term, and each renewal counts as a new fixed term, unless you give at least 30 days’ written notice expiring at the end of the fixed term (clause 7.2).
  • No right to cancel a plan or subscription without cause during its fixed term (clause 7.3).
  • Early termination fee: All monthly charges that would have fallen due for the rest of the fixed term, due immediately, less a 3.5% early settlement discount (clause 7.3).
  • Support plans run for a 12-month minimum, renew automatically, and cancelling early costs the remaining monthly fees (clauses 12.2 to 12.4).
  • ProtectNow Care Plan: 12 months if no term stated, renews automatically, early cancellation costs the remaining monthly fees (clauses 13.1 to 13.5).

In pounds: leave 3 months into a 12-month plan at £25 and you owe 9 × £25 = £225, less 3.5% = £217.13, and that is before any separate support or care plan on your order. Miss the 30-day notice window and the plan renews as a fresh 12-month fixed term. If you want out, give written notice more than 30 days before the term ends; our switching timeline guide shows how to line up a new provider for that date.

Epos Now Trustpilot reviews

Epos Now has a large Trustpilot profile. We do not quote its score: it changes daily and it is not our data. If you read the low-star reviews before signing, check each complaint against the contract above. Under clause 7.3 a poor experience is not, on its own, a way out of the fixed term, so the useful question is whether the problem described would fall under the termination rights in your order.

Pros

  • Hardware, software, installation and training from one supplier
  • 1.70% flat on Visa and Mastercard, 0.05% under Square's 1.75%
  • Free refunds and no authorisation or PCI fees on the payments side
  • UK company with published B2B terms you can read before signing

Cons

  • No right to cancel during the fixed term; early exit costs the remaining charges
  • Automatic renewal into a new fixed term unless you give 30 days' notice
  • Amex and other opt-in card rates: Not published
  • Slower payouts: collected at the end of the day and paid to your bank after two days

Alternatives to Epos Now

Square POS is the no-contract alternative: free software, 1.75% in person and next-day payouts. Lightspeed is the heavier option for multi-site retail and table service, with a card rate it does not publish. Our EPOS systems comparison lines them up on monthly software plus card rate, and retail card machines covers the card machine side on its own.

Is Epos Now worth it?

For a settled counter business that values installation and a single supplier, it is a reasonable package at £110 a month on £5,000 of card takings. For anyone who might change their mind within a year, the fixed term makes it the wrong first till. Already signed? Do not pay £217.13 to leave early unless the saving elsewhere is bigger; send us a statement through our free statement review and we will tell you which it is.

Epos Now questions

How much does Epos Now cost?

The Complete Solution bundle is £299 + VAT (shown as £849 before discount). The discount requires a 12-month payments and support subscription from £25/month, and card payments cost 1.70% on Visa and Mastercard. A £5,000/month shop pays about £110 a month and £1,619 in year one including the bundle.

Can I cancel Epos Now early?

Not without paying. Clause 7.3 of the UK terms says you have no right to cancel a plan during its fixed term; leaving early means paying all the monthly charges left in the term, less a 3.5% discount for paying at once. 3 months into a 12-month term on £25/month, that is £217.13.

What card fees does Epos Now charge?

Epos Now Payments charges 1.70% on Visa and Mastercard. American Express, JCB, Diners Discover and UnionPay are opt-in at a second rate that is not published. Refunds are free. Payouts: collected at the end of the day and paid to your bank after two days.

Is Epos Now a UK company?

Yes. The trading company in its terms is Epos Now (UK) Ltd, company number 07666961, incorporated on 13 June 2011 and registered at Norwich Business Park, Norwich. It was previously named Epos Now Ltd. A separate company, Epos Now Ltd (10784763, formerly Epos Now Holdings Limited), is registered at the same address.

Does Epos Now auto-renew?

Yes. Under clause 7.2 a plan renews for a further period equal to the previous term, and the renewal counts as a new fixed term, unless you give at least 30 days' written notice expiring at the end of the term. Miss it on a 12-month plan and you are committed to another 12 months.
